How to onboard teachers and parents without overwhelming them
A practical school app rollout plan: prepare roles, approve staff, verify guardian links and train each person on one useful task at a time.

Start with the job each person needs to do
A school app rollout is not one training session for everyone. A class teacher needs attendance and class responsibilities; a subject teacher needs their academic work; the accountant needs fee records; a parent needs access to the correct child.
Choose one first task per group. A short successful experience builds more confidence than a tour of every menu. Write down what completion looks like: for example, the teacher can select the correct class and record a practice register under supervision.
Prepare school structure and staff responsibilities
Before training, confirm sessions, terms, classes and subject assignments. Check that a teacher has the correct class-teacher role where required. Teaching a subject in a class should not silently grant permission to change that class’s student or guardian records.

Make credentials a private handover
After approval, staff credentials can be sent by email, with an authorised manual copy-and-share option where needed. Verify the recipient and avoid posting credentials in a staff group.
If a staff member cannot sign in, investigate the account and access details before repeatedly creating another user. Duplicate accounts can make assignments and later support more confusing. A deliberate handover is faster than repairing access during a crowded workshop.
Link parents to children before issuing codes
For parents, accurate guardian links matter more than a polished invitation. Check who should have access and which children belong to that guardian account. Do not guess the relationship from matching surnames or a shared phone number.

Demonstrate one real, appropriate workflow
For parents, show how to find a linked child and view a published report or school update. For teachers, start with the actual class or subject they manage. Use a safe practice setup where a demonstration would otherwise alter a real school record.
Explain device changes simply: a parent can use a still-valid code on another phone. If a replacement code is generated, the old one stops working. A lost code and a new device are different situations, and the training should not confuse them.
Roll out in stages and keep a feedback route
Start with a small staff group, check their questions, then expand. Record recurring points of confusion and improve the instructions rather than repeating the same long explanation to every user.
